Set up expense report verification

How to verify expense reports and enable verification from admin settings

Expense report verification is an optional step after approval and before marking the report as closed. The verifier reviews the expenses in an expense report before marking the report as closed. Verification is often done by a member of the accounting team and used to ensure all expense details are correct before completing monthly reconciliation.

Enable verification from admin settings

Enable verification in the settings. Select the Settings tab in the left side panel then the Advanced features page within the Expenses & reports drop-down.

In the section for expense reports, switch on the Verification toggle.

Note: If you approve and verify your own expense reports, switch on the Self verification and Self approvals toggles. This will allow you to approve and verify your reports.

Once verification is enabled, you and any other admin on the Expense Management account will have the ability to verify expense reports. .

How to verify expense reports

Only approved expense reports can be verified. To begin verification, select the Expense reports tab in the left side panel then the All business reports page. Select the Approved section of the page.

Use the checkbox to select the report you’d like to verify, then select the Verify button.

In the View expense pop-up, review each expense in the report. If every expense looks correct, select the Verify and next button. If any expense details are incorrect, edit the expense by selecting the Edit button.

A green check will indicate all the expenses in the report are verified.

Note: Once verification is enabled, all expense reports have to be verified to close them. This step can’t be skipped.
