Map expense fields to QuickBooks Online dimensions

Map by category, corporate credit card and project

You can import QuickBooks Online dimensions such as chart of accounts, tax codes, departments, classes and projects and map them as expense fields in Expense Management. All the values of the QuickBooks Online dimension will be available in Expense Management.

If you’re not importing all QuickBooks Online values and only want to use specific values from a dimension, we recommend that you create these values manually in Expense Management. Then, you can map them to their QuickBooks Online equivalent. For example, if you have 100 different accounts in your chart of accounts but only 10 are relevant for Expense Management, add the 10 accounts as expense categories in Expense Management. Then, map them back to QuickBooks Online.

Map categories, cards, and projects to QuickBooks Online

The Mapping tab of the Accounting integration page allows admins to map categories, cards or projects to QuickBooks Online dimensions.

Category mapping

From the Category section of the Mapping tab, use the drop-down list to match expense categories to their corresponding account in QuickBooks Online.

Once a category is matched, its status will update to mapped.

Corporate card mapping

By default, all expenses in Expense Management are exported as journal entries or credit card transactions in QuickBooks Online.

Expenses are coded to a default credit card account in QuickBooks Online. This can be edited in the Export settings section of the Configuration tab.

You can also map credit cards to specific credit card accounts in QuickBooks Online .

In the Mappings tab, select the Corporate card section. All the credit cards in Expense Management will be listed. Select the card you’d like to map, and match it to the corresponding QuickBooks Online account. Your mapping will automatically save.

Each expense for a specific credit card will now be mapped to the corresponding credit card account in QuickBooks Online

Project mapping

In the Project section of the Mapping tab, use the drop-down list to match projects in Expense Management with their corresponding customer in QuickBooks Online.

Once a project is matched, its status will update to mapped.
