Export expenses to QuickBooks Online

How to export expenses to QuickBooks Online and resolve export errors

After you’ve connected your Expense Management account to QuickBooks Online, approved and closed expenses can be exported to QuickBooks Online where they can be stored permanently.

Export expenses to QuickBooks Online

Select the Accounting integration tab from the left side panel.

On the Accounting integration page, you can export expenses and view any failed exports.

To export expenses, select the Export button.

You will be able to view the export status of the expenses in the Your last report section.

View export failures

If any expenses fail to export to QuickBooks Online, the number of failed expenses will be immediately displayed in the Your last report section. Select the View button near the number of failed expenses to get additional information about the failed expenses.

The reasons for any failures will be displayed in the Errors section. Select the Resolve button to resolve the error before trying to export again.

Integration errors

After selecting the Resolve button from the Errors section, all the missing category mapping data is displayed in a right side panel. You can create new mappings directly from the panel.

Once the new category mappings are created, the mappings are automatically saved. You can try to export the expenses again.

QuickBooks Online errors

QuickBooks Online errors are typically validation or permission issues that block Expense Management from creating a record in QuickBooks Online.

All the expenses that failed because of a QuickBooks Online error are displayed in the Errors section. Use the error code and message to resolve the issue in your QuickBooks Online account before trying to export expenses from Expense Management again.

Note: Expense Management will compile all previously failed expenses and new expenses to keep them ready for export to QuickBooks Online.
